Feedback Reports

All EIS XML submissions are submitted through EPA's CDX environment. To check that the data in your XML document have been prepared and formatted properly for submission to the EIS, you may use the Quality Assurance Environment. You are encouraged to use this environment as frequently as necessary to help ensure that the submission is of the highest quality and critical data issues are resolved before making a submission to the Production environment of EIS. This will also decrease the processing time for submitted data.

After a user has submitted an XML document through EPA’s CDX environment to either the EIS Quality Assurance (QA) environment or Production environment, the EIS performs all the necessary validation checks. Once the document has been validated, the EIS will send an email notification to the submitter and other users responsible for the reporting Agency that the processing of your data is complete and the feedback report is available for viewing or downloading from the EIS Gateway. The feedback report for your QA or production submission should be available within minutes of your submission.

Accessing the feedback report can be achieved by clicking on the link in the email notification or from the left navigation menu of the EIS Gateway under the Reports menu. You may also access it by clicking on the My Agency link under the Account Data menu, then select the Feedback Reports tab on the Agency Organization Detail page.

Submission History

The Submissions History table displays a list of all submissions to EIS for both QA and Production submissions for your agency. The table provides the CDX Tracking #, the status of the submitted file, the data category for which the data pertains to in the file; the type of XML submission (QA or Production), and the date and time the file was submitted via CDX. The last columns in the table may contain links for any available QA or Production submission feedback reports as well as a link to request assistance from an EPA Inventory Developer for a QA submission.

The submissions will have the status of Completed or Failed for QA or Production Submission. After making a Production submission where data has been successfully added or updated according to the feedback report, the data should be immediately available for viewing in the EIS Gateway.

If you selected to submit your XML file as a QA submission as a preliminary quality assurance step prior to making a submission to the Production Environment, it will be displayed in the feedback report with a Completed Status for 15 days. After 15 days access to the QA feedback report will be deleted or “purged” and will no longer be available for viewing. The QA data is only stored long enough to provide feedback and not saved to the EIS.

Reading the Feedback Report

The Feedback Report for Completed and Failed submissions are provided in a downloadable CSV file by clicking on the “Download Report” link in the last column of the Submission History table. The Feedback report will display various tabs including a summary of any errors found with your submission, a listing of the data components that have been updated or added are displayed in the statistics tab, and then any details of various error types are displayed in the Systems Error, Critical Error, Protected Error, or Warnings tabs. Any data element that fails a critical check is rejected and will not be saved to the EIS database. If a rejected data element is required for a component, the entire component is rejected. The feedback report notification details errors and suggests corrective actions or resolution.

Request Inventory Developer Assistance

If you have submitted a file as a QA submission and after reviewing the feedback report you need further clarification on any errors that may be reported in the report, you can click on the “Request Inventory Developer Assistance” link displayed in the last column of the Submission History table.

Clicking on the Request Inventory Developer Assistance link will open a new Support Request for the issue. You may choose to add an additional message for the EPA Inventory Developer to review. Clicking Submit will notify the EPA Inventory Developers that further assistance has been requested and they will contact you with a resolution. This process is intended to ensure that all questions, issues, and problems are tracked and responded to on a timely basis.
